This is a temporary position for 1-2 months, therefore candidates need to be available immediately with no holidays booked in the next 2 months. Our Client is looking for a Premises Administrator - Banking to join their small team on a temporary basis (initially 1-2 months). This position is full time in office, 5 days per week.
The successful candidate will be an integral part of the Property services team for the Client.
Key Responsibilities (but not limited to):
- Ensuring the Property Services Scope of Service is regularly reviewed, maintained and delivered.
- Assist proactively and reactively in delivering the key objectives of the department
- Process all invoices related to Property Services, including landlord expenditure, within agreed timescales and escalate issues or problems to ensure prompt payment.
- Provide day to day support to Front of House provider onsite.
- Communicate regularly with the Service provider to ensure that SLA and KPIs are met.
- Maintain the stationery stock levels.
- Oversee the mail, deliveries, courier, reprographics and document management services.
- Organise and execute the space management process and churn.
- Liaise with office engineers to maintain office facilities.
- Liaise with cleaning provider to make sure SLA is met.
- Work closely with Building Security, and monitor reports provided by Security Manager.
- Ensure new joiner/ leaver/ visitor process is in line with Property Services procedures.
- Prepare monthly reports.
- Maintain all records, including the Facilities Management drive.
- Update the Property Services Intranet page.
- Administer the Property Services inbox.
- Maintain policies, procedures, process maps.
- Assist with the management of business continuity, ensuring that related documentation is kept up to date.
- Support the management of all third party vendors to ensure excellent service and value for money.
- Oversee the tendering process for all suppliers.
- Prepare quarterly H&S report to Management Team.
- Arrange monthly office inspections.
- Organise the training for Fire Marshalls and First Aiders.
- Assist the management of business travel and provide support to travellers.
Skills, Experience and Qualifications:
- Experience in delivering similar property services.
- Certificate of First Aid and Fire Marshall.
- Qualified in Health and Safety to IOSH level or NEBOSH desirable.
